A renewal letter. A request for outstanding documents. An appointment letter. A client review pack.
The information is there. The work is often in putting it together, formatting it correctly, adding the right branding, saving it in the right place, sending it to the client, and making sure there’s a record of what happened.
We’ve just made that process a lot simpler in InsuranceBuffalo.
Our new Document Generation Engine allows brokers to create professional client documents directly from a client’s profile.
Instead of starting with a blank document or searching for a template, the broker starts with the information already in InsuranceBuffalo.
Depending on the document, that can include client details, policy information, insurer details, premiums, renewal dates, compliance requirements and more.
The broker selects what they need, previews the document, makes any required changes, and then chooses what happens next.
The first version supports several common workflows.
Generate renewal communications using the relevant client and policy information, including policy details, premium figures, insurer information and renewal dates.
Create formal requests for information and compliance documentation.
The system can also identify missing or expiring documents on the client’s file and suggest them automatically. The broker remains in control and can add or remove items before generating the request.
Generate broker appointment documentation with the relevant client and policy information already populated.
Bring together the information needed for a client review or audit into a single professional document, including policy summaries, active contracts, document statuses, notes and relevant audit information.
And because the document system is built around InsuranceBuffalo's existing file categories, generated documents can remain organised within the client's existing document structure.
A document generated by InsuranceBuffalo shouldn't look like it came from InsuranceBuffalo.
It should look like it came from your brokerage.
That's why document branding is configurable at brokerage level.
Brokers can control elements such as:
There’s also a live preview so the brokerage can see how its branding will appear before saving the configuration.
The result is consistent formatting without every broker having to maintain their own collection of Word templates.
One of the things we wanted to get right was the final step before a document leaves the system.
Brokers can preview the actual generated PDF inside InsuranceBuffalo before downloading, storing or sending it.
The preview sits alongside the relevant client and policy information, making it easy to check the document before committing to the next step.
If something needs changing, the broker can go back to the selection screen without starting the process from scratch.
Small things like this make a difference in a workflow where accuracy matters.
Not every client communication follows the same path.
If the client has an email address, the broker can generate the document and send it through the delivery workflow.
If there is no email address, the document can simply be generated and stored in the client's file for printing or in-person handover.
Email delivery also happens asynchronously, with the system tracking the delivery state from queued through sending to sent or failed.
This means the broker doesn't have to sit and wait for the email process to complete before continuing with their work.
The document itself is only one part of the feature.
Insurance software has to deal with things that aren't visible in the PDF.
Documents need to belong to the correct brokerage. Brokers need to have permission to access the underlying client and policy information. Sending the same document twice because someone clicked a button twice isn't acceptable.
We've therefore built the document generation workflow with tenant isolation, access controls, encrypted storage and deterministic send idempotency.
We also snapshot the relevant information when a document is generated.
That last part is particularly important.
A client's policy information, document requirements or brokerage branding might change in the future. The document that was generated six months ago shouldn't silently change with it.
The generated PDF preserves the state and wording that existed when the document was created.
The goal of this feature isn't really PDF generation.
It's about taking another repetitive administrative process and moving it into the broker's existing workflow.
The broker already has the client.
The broker already has the policy.
The broker already has the information.
InsuranceBuffalo can now turn that information into a professional client document without making the broker leave the workflow to build it themselves.
And that's the part we're most excited about.
